Report purpose

The report is created to provide a statement that contains all of the information about the deferred course including information about the student enrolled in the course, name, BOD, studentId, the course the student is doing and the home provider, when the student start and finish the deferral.

One other method of locating the report is through the report tab, user with admin access can find the report under Report tab->Letters.

Requirements

The report can be run based on the parameters below.

In addition to the parameters in the screen shot above, the report is also driven by absenceIdabsence Id, which is along with the course enrolment id uniquely identifies each leave record.

Warning

Please note, the information contained in the report/under the course enrolment absence screen does not live in the course enrolment table, instead it lives in its own table called program enrolment absence.

The reason for this is so one course enrolment could have more than one leave record, also the table enables user to put in much more detailed information about the leave.

How to Create a Leave of Absence Record

  1. Click on the Student tab in the side menu
  2. Click on the Search option in the side menu
  3. Enter at least one of the following options in to the relevant search box: 
    • Student No, 
    • Preferred Name, 
    • Given Name, 
    • Family Name / Surname, 
    • Previous Last Name
  4. Click on the Search StudentImage Addedbutton.
  5. This will show a list of students that meet these criteria
  6. To filter the list of students, in the search box Image Added above the list of students, start typing the student's first or given name. 
  7. When you see the record for the student you are looking for, click on the student number for that student, highlighted in blue in the left column of that row.
  8. The student's record has now been loaded into the Student Summary page.
  9. Click on the Action Image Addedmenu of the course to be deferred. The Action menu will open
  10. Click on Edit Course EnrolmentImage Added option in the Action menu
  11. Click on the Action Image Addedmenu of the course to be deferred. The Action menu will open
  12. Click on Edit Leave Image Added option in the Action menu.
  13. Click on the Add New Image Added button

How to Print a Leave of Absence Report

Troubleshooting

A common error here is when the parameters you put in to run the report does not return any results, it will spit out the parameters you put in, in sql and not return any report as shown in the screen shot below.

To resolve this issue, you will need to examine the parameters you put in and see if any leave record actually exists within the scope of the parameters.
