Assumptions

  • The User has the minimum required level to access the Reports Tab

  • The user has an understanding of the Australian Tertiary Education System / VET Sector.

  • The user has an understanding of the types of reports needing to be generated for Government reporting (HEIMS, AVETMISS and TESQA), internal reporting and communications to students (Letters)

Key terms and concepts

Within the Reports available there a re 3 types of Reports:

Letter Reports are pre-formatted letters that can be generated including student specific information and data. Some can be produced and either emailed via the communication module others are designed to printed and supplied to the student as required.

Operational Reports are reports that can provide the institution with data on Student enrolments, courses, class lists, transcripts etc

Government Reports are reports that are designed to fulfil the reporting requirements placed on institutions by TESQA, HEIMS and AVETMISS. This also includes PIR reporting.

HEIMS

This section contains all of the reports required for HEPCAT / HEIMS reporting.

  • Campus file (CM)

  • Course file (CO)

  • Student Enrolment File (EN)

  • Student Load / Liability (LL)

  • Commonwealth Assisted Student file (DU)

  • Past Course Completions (PS)

  • Past Unit Completions (CU)

  • SA-Help (SA)

  • TFN Look up File

Provider

Provider Reports section contain reports used for day to day reporting of student cohorts and providing data for teaching staff such as Class list, Students by degree, emails lists of cohorts, entering final grades, session reports etc

Student

Student reports section has reports / documents specifically for students, Transcripts, AHEGS, Testamur, Statement of Attainments, Student Card, Enrolment Summary, Student Payment Advice, Advisor reports, Session attendance, Notification of Results etc

Financial

The Financial Section contains reports around finance, Student Units Summary report, Student Sundry invoice Summary, Student payment Summary, Commonwealth Assistance Notices etc

Letters

Letter reports are pre-formatted letters that can be generated including student specific information and data.

If you are unsure of the report you are looking for, or what type of reporting can be done from paradigm this is a list of all reports available. The reports available within this section are determined by the users level of access.

Report Builder

The Report Builder is a tool for being able to build and customise reports. By using the base reports fields / data can be selected, filtered and ordered to provide complex reports. Alternatively a report can written using SQL. Reports can be saved for Global use, or restricted to certain access levels or used as private reports to only allow the author access. Reports can be produced in HTML, CVS, Custom CVS, XLS, JSON or XML depending on the institutions reporting requirements.

VET HEIMS

This section contains all of the reports required for HEPCAT / HEIMS reporting

VSR Reports

Victorian Student Number Report - This will generate and submit a report of all pending student registration information relevant to the VSR. This includes the process to retrieve the VSN for new students.

AVETMISS

This section contains all of the NAT Files required for AVETMISS reporting

TESQA

This section contains all of the reports required for TESQA reporting including PIR full year and Half year, PIR Past Course Completions

Report Edit

This section will allow for edits to be made to access levels for the reports as well as adding parameters to some basic reports. Additional edits of changes can only be made by the development team.

Output Formats - Available formats for the report Builder this can produce in PDF, XLS, HTML, CSV, XML, JSON. However not all reports can be produced in all formats.

Customisation - Reports built in the Report Builder are completely customisable by either the builder within your institution,or build your own or via the Silverband help desk if assistance is required. Other reports are “hard coded” and are used by all Paradigm users and are not able to be altered or changed. For more information on these please contact the Silverband help desk.

Implications

Security - Some of these reports can contain sensitive information and therefore should not be available to all staff. These can be restricted by access level and hidden depending on the requirements of the institution.
