When creating sessions with the group and class number values in Rapla with multiple appointments, and you don’t want the student to attend ALL of the appointment series in that session/event, you have to make sure that each unique group and class number combination is created as one Paradigm Session/Event. Each new appointment created within a session/event will inherit the group and class number values being set for that session/event.

Sample Scenario

Given the sample event created below, a lecture (BEM1008) with a weekly event every Monday at 9:00-11:00AM. Take note that this event has no Group and Class Number values. For the purposes of demonstrating how to add a new appointment as a repeating event, with the currently set event for the Monday lecture, you wanted to add another Wednesday lecture with the same number of times as your Monday lecture. With this set, you want the student to enrol in the Monday and Wednesday lectures every week for the duration of your repeat event.

Also, take note how in the Course Plan that Monday session event will look like:

How to Add a New Appointment with Repeating sessions

  1. With the existing Paradigm Event/Session created above, if you want to add a new repeating appointment you want the student to automatically be enrolled: based on the sample scenario above – the Monday Lecture Session, will also automatically enrol the Wednesday Lecture.

  2. Right-click on the Paradigm Session that you want to add a new repeating appointment to, click the Edit option.

How to Add a New Appointment with a One-Off session

1. With the existing Paradigm sessions created above, if you want to add another one-off appointment you want the student to automatically be enrolled: based on the sample scenario above – the Monday Lecture Session, will also automatically enrol the Wednesday Lecture, and an additional end of the semester seminar as a one-off event.

2. Right-click on the Paradigm Session that you want to add a new repeating appointment to, click the Edit option. This will open the Paradigm Session details.

Delete Appointment

WARNING

If you have already synced to Paradigm the appointment that you want to delete in Rapla, the synced appointment will not automatically be deleted in Paradigm once you do a resync after the delete action in Rapla. If you want to get rid of the appointment/session, delete the sessions in Paradigm first before you delete the appointment in Rapla and do the resync.

1. Right-click on the Paradigm Session where the appointment that you want to delete is under or directly on the Appointment Session that you want to delete, click the Edit option. This will open the Paradigm Session details.

  1. Right-click directly on the Paradigm Appointment Session that you want to delete, click the Delete Appointment option.

2. Select the required delete button based on the descriptions below:

  • If you have selected the main Paradigm Session or Event and clicked the Delete Appointment option, the options to delete are the same as below except for the 2nd option series. The main Paradigm Session or Event will make the 1st Appointment as the series to be deleted.

  • If you are deleting a repeating appointment, you will be prompted with three options on what to delete:

How to use the Free Appointment option when creating new Paradigm Session/Event/Appointments

1. After you created your Paradigm Session/Event/Appointments – if you have an issue with the availability of the resources, click the free appointment>> button under the Appointments section.

2. On the right side of that section, adjust the day and time, and;

3. Observe the Allocations section below, all the resources which are being utilised for that specific day and time that you’ve set. Alternatively, you can keep clicking the free appointment>> button and at the same time observe the resources available below. Note that the default change of time when that button is used is every 15 minutes.

Adding Exceptions

If you have already synced the Session/Event to Paradigm, the exceptions that you are going to add will automatically be deleted in Paradigm once you do a resync with the changes from Rapla to Paradigm.

Click the Close button once you’re done adding all the dates, and click the save button to add the changes to your event/session.

3. If you have another Appointment on that Paradigm Session/Event that you want to add exceptions to, just go back to the left-hand side of the Appointments section, make sure the next appointment that you want to add another set of exceptions to is highlighted/selected and repeat the rest of the instructions.

Tip

Once you’re done adding all the exceptions, in relation to the Warning sign above, if this Paradigm Session/Event has been synced before, if you plan to resync the changes to Paradigm, all the exceptions you’ve just added will automatically be deleted in Paradigm.

Convert to Single Events

WARNING

If you have already synced the Session/Event to Paradigm, converting a repeating Appointment into a single event will create a whole new set of Session lines in the Course Plan menu for the student to enrol, leaving the previously repeating appointment intact. To avoid duplicates, delete the sessions previously synced and convert the appointment into single events in Rapla before attempting to resync.

3. After clicking the Convert to single events button, you will notice on the Appointments space on the left, that all the single events are generated depending on the number of times that a repeating appointment has been set.

After converting the Appointment into single events, you can now go through all the newly generated single events and adjust the necessary details.
