Overview

For instances when you need to issue credit notes to your customer (Student, Agent), you can do so by going through the original invoice that has been created and paid off and follow the rest of the instructions on this knowledge article.

BE ADVISED

An original invoice must have been created and paid off in order to create a credit note.

NOTE

A credit notice invoice does not need to be the exact amount of the original invoice. For instance, the provider may have a policy where refunds are -10% of the invoice as a penalty or admin overhead fee.

Workflow

Outlining the step-by-step instructions on issuing credit notes

1. There are two areas in Paradigm where you can issue credit notes in the Accounting module: (1) Accounting > Summary (2) Accounting > Invoices. Whichever of the two areas you’ve chosen, go to the STUDENT INVOICE LIST section, click the ACTIONS button against the paid invoice and select the Create Credit Notice option.

2. A warning message will appear (screenshot below) wanting you to confirm your action. Click YES to proceed.

3. You can check in the STUDENT INVOICE LIST section the credit notice that you just created – Invoice Type: Customer Return, Status: In-Process, Total and Owing: negative amount.
