Customising Email Templates

Overview

There are data resource templates or email templates in Paradigm which are customisable, some of them are related to the Online Applicant Portal feature. These email templates are the default emails to be sent to and from the applicant and the Provider in the whole duration of the application/enrolment process.

Workflow

1. Refer to the instructions on this knowledge article on how to search for a template in the Provider Record in Paradigm: How to SEARCH for a Communication Module Template.

For more details on how you can edit or customise these templates, refer to this knowledge article: Provider > Search, Add and Edit Content (e.g. Email Templates) with all the available merge fields for your perusal.

2. Search for the following templates and customise them according to your business or institution’s standards.

  • [APPLICANT_REG] Applicant Portal Registration – the email sent to the applicant for them to login to the Online Applicant Portal. This email is sent right after the applicant has signed the registration form.

  • [APPLICATION_SUCCESS] Application Success – email sent to the applicant after they’ve submitted their application for review.

  • [EMAIL_CRS_OFFER] Course Enrolment Offer Notification – email sent to the applicant if they’re successful with the application

  • [EMAIL_CRS_REJECTED] or EMAIL_OFFER_REJECT – the email sent upon applicant’s rejection of the offered course

  • [EMAIL_CRS_ACCEPTED] or EMAIL_OFFER_ACCEPTED – the email sent upon applicant’s acceptance of offered course

NOTE:

Depending on your business or institution’s application acceptance standards and decisions, you always have the option to add more email template responses for each possible decision, or you can contact our Support Team if you want to discuss with us your business or institution requirements regarding your online applicant portal email templates.
