Step 2 - Apply to Study

Overview

After the registration process, the applicant will receive an email “Course Enrolment Offer Notification” including a link to the Online Applicant Portal with their login credentials (Username and Password). The applicant will then be prompted to make an application, asking for all the required and necessary details, attachments or supporting documents.

NOTE

All the forms, fields, labels, file attachment requirements, etc. are customisable as discussed in the Configuring the Applicant Portal section, depending on your requirements and specifications.

The workflow or the design of your required information section (APPLICANT DETAILS to AUDITION / INTERVIEW, in the workflow screenshot above) in your Online Applicant Portal can also be customised – e.g. adding the Audition/Interview sessions with the billing (payment) are optional.

Applying to a Scheduled Course – step-by-step guide:

A. Create a new Application:

  1. Click the "NEW APPLICATION" button at the bottom of the course summary window (That button text is configurable using the label student_summary_addNewApplication, see Editing Labels in Paradigm).

  2. The Applicant is then presented with the contact details screen where the fill out their contact details, or update them, if they have previously started an application.

  3. The next screen is where the applicant selects the course they wish to apply for. Field visibility on the screen changes depending on the course the applicant chooses. Fields can be hidden, and set to required as necessary, see Customising the Application Form.

  4. The next screen has some general questions that the applicant will need to answer to continue.

  5. The Next screen brings the applicant to the screen where they will upload required attachments as part of their application, see Preparing the Base Course. There are some check boxes to confirm the student agrees with terms and conditions, and then they will need to write their name to confirm they would like to apply. This then fills out the current date.

  6. The next screen (if the applicant requires an interview/audition, see [Optional] Scheduling Interviews) what the application sees is the scheduled location selection. Once the application selects a location and proceeds, they then have to pay via an online payment gateway for the audition/interview.

NOTE

A recent update on the Applicant Portal has now the ability to optionally set applications to free, by setting the application fee (scheduled unit fee) amount to $0, see [Optional] Scheduling Interviews. This will bypass the credit card payment section of the application process, and take the applicant straight to the session selection screen.

7. After payment, the applicant selects the audition/interview time slot they wish to attend.

8. Upon selection the system marks the application as completed.

B. Continue an Application:

  1. An Applicant has the opportunity to finalise their application at any time between the previously mentioned time period, and the scheduled program offer start date and scheduled program offer expected end date.

  2. Upon continuing an application, if the applicant has already "signed" the application (where they type their name and we prefill the date), they will be presented with the scheduled unit selection screen. If they have not "signed" the application yet, they will go from the start of the application with the contact details and continue.

  3. The steps mandated by the above "Create a new application" apply to continuing an application.

C. Selecting a different Audition/Interview Time slot

  1. Upon completion of the application, an applicant still has the ability, up until the Online Applicant Portal period, or the scheduled program period ends, to change their enrolled session.

With all the required and necessary information and attachments submitted, the applicant will now wait for an email from the Provider, detailing the decision of the course application.
