Overview

This knowledge base article outlines that the system supports students to amend their session enrolments after they have already been enrolled in their units for a given semester and the student wishes to change their session preferences. It covers the views for both the Student permission level and Full Admin level.

This screen (student_units_sessions.php) allows students to amend their session enrolment directly.

How to get to the screen

Follow the menu path: Student > Summary, then click the Sessions from the side menu.

When a student was given this URL (…/student_units_sessions.php) without going to the Student Summary screen first, they might encounter the following error message that prompts they need to load a course enrolment first before attempting to go through the session selections.

Course Enrolments Section

This section displays a list of course enrolments that students enrolled in. To ensure the correct course enrolment is loaded, you can click on the binocular icon to switch between course enrolments.

Session selection scenarios

When a class is at its capacity, students will see the message ‘Class is Full' and the session is not selectable, refer to the below message:

When the student successfully enrolled on the session time they wanted, notice the availability status changes from ‘Available’ to ‘Enrolled'.

NOTE:

The Session Configuration section is only visible to the Full Admin user, and it can be configured by the Silverband Support team.

Understand New Time Periods

We introduce two new configuration periods that you can use to control when students can amend their session enrolments, as well as control what is editable on the screen.

Follow the menu path: System > Edit Time Periods > Configuration Period, search for the following Time Period Id

Controls what is editable via Student Units Sessions screen

When today’s date is outside of this time period range, students will see the availability status showing ‘Closed to Changes’

SESSION_EDIT_PERIOD

Controls when Students can use Student Units Sessions screen

When the session period is outside of this time period range, students can access the session screen but they will see the availability status showing ‘Not Accepting Changes’.

Label Id and Value Reference Table

Based on the label value you see on the screen, you can search the label id and edit the label value to suit your institution:

System Configuration

System configuration is maintained by Silverband Support Team only, if you require to change the following logic, please raise a helpdesk ticket, and our team will be able to assist you:

  • Block changes where the census date has passed on the Student Session Enrolment Screen

  • Days after the scheduled unit start date where students are allowed to edit sessions via the Student Session Enrolment screen
