Paradigm provides an option to let you bulk upload student photos to increase efficiency in uploading student information into the system. This is also very helpful in any data migration process. This knowledge article will provide a workflow on how to bulk upload student photos in Paradigm.

Image File Type

Images can be saved into a number of file types. Images accepted: jpg, png, gif and gd2, however, all will be saved to the jpg format. Transparency, animation and other additional file headers will be ignored.

Paradigm will automatically convert all your student images uploaded into the system into a .jpg file type.

Image File Size

An image has its own file size depending on its quality and how it's being made/generated. Paradigm has a maximum permitted file size per upload and that is at 80MB, and the maximum supported file size per upload is 1.91MB.

Zipped File

It is a way of reducing the file size, and compressing files – in this case, images. Paradigm supports and accepts .zip files, but not 7zip, bzip or other compression formats currently.

Implications

Note

BE ADVISED:

When editing your student photo filenames, cross-checking [verification] is highly advised, student photos should match the student Id number registered in the system. If the filename doesn’t contain the student ID, it can also match on SMS or CRM entity ID.

Please take note of the following when it comes to the photo filenames, types, and size requirements before uploading photos in Paradigm.

FILENAME REQUIREMENTS:


NOTE:

Photos filenames should contain the Student ID. If the filename doesn’t contain the student ID, it can also match on SMS or CRM entity ID. Suggested format should be “Student_StudentID”, or “StudentID_Student”.

Alternatively, you can just name all the photos with their ID numbers.

After making sure that all your photos are in their required filenames, and are already placed in one folder, right-click the folder, select Send to, and then select Compressed (zipped) folder. A new zipped folder with the same filename will appear in the same location.

Choose the System menu > Bulk Upload Student Photos > An UPLOAD STUDENT PHOTOS Form will appear for you to upload the photos.

On the UPLOAD STUDENT PHOTOS Form, set the “Student Number position in File name” section to

  • 🔘Start if you followed the format of having the student Id at the start of the filename “StudentID_Student”, an example would be “100001_Student”.

  • Select the 🔘End option if it’s the other way around.

Change the “How is the student being associated with the file?” to

🔘SMS Entity ID or 🔘CRM Entity ID if your photo filenames are not set to student ID.

Click the Choose file button and locate the zipped folder of the photos that you’ve created a while ago. The student_photo_folder_name.zip file will appear beside the Choose file button.

Click the UPLOAD STUDENT PHOTOS button to upload the photos to the system.

Tip

After clicking the UPLOAD STUDENT PHOTOS button, a FILE UPLOAD RESULT Form will appear below, giving you details of the status of the upload.
