Objective

Learn how to search, add and edit fee rules for the purpose of calculating the tuition fee amount when new unit enrolment records are created within Paradigm. Fee Rules represent a lower management overhead compared to stating fees on a per Scheduled Unit record basis.

Key Terms and Concepts

Be advised

Ensure that you have all of your Fee Rules correctly entered prior to commencing enrolment as unit enrolments that have already been created, are not automatically updated when any fee rule is added, removed or modified.

The Fees matrix works in-conjunction with Scheduled Units to charge students the correct amount for the units for the Course for which they are enrolled. Fee Rules table eliminates the need to create multiple fee rules in the schedule units via Fees Associated With this Schedule Unit section.

Once you have created your Fee rules then create your scheduled units. If you have a one of Special fee it can be added to the “Fees Associated with this Scheduled Unit” within the scheduled unit. Any fees entered there will override rules corresponding within the fee table.

The fees table works by the highest number of matched data rules.

For Example

  • Course = 1 point

  • Course level = 1 point

  • Fee Type = 1 point

  • Credit points = 1 point

  • Level = 1 point

If required an extra weighting can be given to the Course field to ensure a 4 or 5 point match if level is not used. The system then selects the amount entered that matches the highest number of points in combination.

It is important to map out all combinations of these fields that you require before you start to enter data. That way all combinations required can be entered into Paradigm easily and quickly.

As fees change from one year to the next existing rules can either be updated, as it will not change any previously enrolled units, or retired and new rules create.

Implications

As fees may change from one year to the next existing rules can either be updated, as it will not change any previously enrolled units, or retired and new rules create.

  • Do not allow enrolment to commence while still adding fees or Scheduled units.

  • Updating a fee won’t update any historical enrolments. Make sure fees are correct before proceeding with enrolments.

Please ensure that you have all of your Fee rules correctly entered prior to commencing enrolment as units aren’t updated if you make a mistake and go back and update a Fee rule.

  • Do not allow enrolment to commence while still adding fees or Scheduled units.

  • Updating a fee won’t update any historical enrolments. 

  • Make sure fees are correct before proceeding with enrolments.

Workflow

 1. How to Search for a Unit Fee Rule
  1. Click on the Units option in the side menu.

  2. Click on the Unit Fee options in the side menu.

  3. Click on the Search Unit Fee in the side menu.

  4. Select the required course from drop box in the Unit fee search section.

  5. Click the Search unit Fee button

Please note: To reduce the results additional options can be selected when searching.

 2. How to Add New Unit Fee Rules
  1. Click on the Units option in the side menu.

  2. Click on the Unit Fee options from the side menu.

  3. Click on the Add New Unit Fee from the side menu.

  4. Scroll to the Edit Unit Fees Section

  5. Select the Course that the Fee rule is to be added to from the drop down box.

  6. Select the program level for the course.

  7. Enter the number of credit points for the unit within the course.

  8. Select the Fee type

  9. Enter the Unit level code (Please Note: This step is optional. The levels must be set within the parent units before adding fee rules)

  10. Enter the amount to be charged for this course, credit point fee type combination without a dollar symbol.

  11. Select the Unit Fee Status Id (Active)

  12. Click on the Save Unit fee button.

To add another rule Click the Add New Unit Fee button on the side menu.

 3. How to Edit Unit Fee Rules
  1. Click on the Units option in the side menu.

  2. Click on the Unit Fee options from the side menu.

  3. Click on the Edit Unit Fee from the side menu.

  4. Scroll to the Unit Fees Section

  5. Select the Course that the Fee rule is to be added to from the drop down box.

  6. Click on the Search Unit Fee  button.

  7. Click on the Pencil icon next to the course fee to be edited.

  8. Update the required fields.

  9. Click the Save Unit Fee  button.

To edit additional fees Scroll to the top of the page and start the process again from step 5
