Objective

Once you have read this article you will be able to produce a list of all students who are enrolled in a specific course and have a specific enrolment status.

Assumptions

    • You have an access level that allows viewing and editing student records
    • You have an understanding of the Australian Tertiary Education System / VET Sector

Key terms and concepts


FieldBrief Description
Course NameThe name of the course that the students are enrolled in
Enrolment StatusThe current status of the students' enrolment in the chosen course. The options available in the drop box are chosen by the institution. Examples may include Applied, Enrolled, Completed, Deferred, and Leave of Absence.
Home InstitutionThe college, campus or institution where the student is primarily enrolled and undertaking studies.
Funding TypeThe type of funding type that the student is using to pay for the course. Examples may include Fee-HELP, HECS-HELP, Upfront, Scholarship
Start DateThe date that the student began or is expected to begin, studying units that are part of this course.
End dateThe date that the student is expected to complete studying all units that are part of this course.
Contact modeHow the student is completing this course. The options are chosen by your institution and may include Attending, Online, and Distance.
Contact hoursHow the student is in contact with the home institution, indicating studies on a full time, part time, or unknown basis.
Order ByThe field name to use, to sort how the results are listed

Workflow

How to Search for Students by Course

  1. Click on the Student Tab in the side menu
  2. Click on the Search Course option in the side menu.
  3. You must choose one of the available options in each of these drop boxes:
    1. the Course Name drop box, and
    2. the Enrolment Status drop box. (both of these must be chosen to show you a list)
  4. Choose or type values for any of the following, to filter the results shown in the list
    1. Home Institution
    2. Funding Type
    3. Start Date
    4. End Date
    5. Contact Mode
    6. Contact Hours
    7. Agent
  5. Choose from the available options in the Order By drop box, to sort the listed results
  6. Click on the Search Course Enrolments button.


Course Enrolments at this point can be added to a list for bulk actions to be performed. To do this continue below:

  1. Tick the boxes next to the required students (or tick the select all option at the top of the tick box section)
  2. Scroll to the bottom of the list and click the Add enrolments to list button.
  3. A bulk list of student enrolments has now been created ready for bulk actions.
