Overview

The Student Summary page displays detailed information about a student. This would include the student’s personal information (e.g. status, contact details, photo, etc.), course and units enrolments, reports, reviews, and requests. This page will not only let you view the student information – it will also give you options to process (print, email, edit) the information available. This knowledge article describes each section found on this page and the how-to guides that relate to this menu.

NOTE:

The appearance of the student summary screen is highly customisable on a per site basis. The contents of this article refer to what is typically used in a standard deployment of Paradigm.

The Student Summary page contains separate sections of related information as follows:

NOTE:

The Student load indicator specifically the Part/Full time displayed in this section “ Classic Records Loaded” is derived by Paradigm based on the true EFTSL enrolment of the student in question by summing up the EFTSL on the scheduled units that sit within the dates specified in the time period called “SEMESTER_LOAD_PERIOD”.

The header section is at the top of the page and contains minimal details of the currently loaded student record. The header section can be shown or hidden by clicking the Show Classic Records Loaded button near the top right corner of the page. The same information can be shown at any time in a popup window by hovering over the "Currently Loaded" dropbox to the left of the button.

 VALIDATION ERRORS section

NEWLY ADDED SECTION VALIDATION ERRORS section

New TCSI validation errors on the student summary screen are now shown to prompt errors that need to be addressed. Errors are organised in a way for ease of checking areas to resolve.

 STUDENT DETAILS section

PERSONAL INFO SECTION STUDENT DETAILS section

Shows a summary of identity and contact information for a student:

  • Internal Paradigm Id: System allocated internal id code;

  • Student number: Institution allocated student number;

  • Old Student number: Any previous allocated Student numbers or indicators (usually from a previous student management system);

  • Name: Student’s full legal name;

  • Preferred Name: The name the student prefers to be called or referred to as;

  • DOB: Date of Birth;

  • Other fields on this student summary page would include: Age, Gender, Phone, Permanent Address, Email;

  • Status: student record status in the system. These are just some of the statuses a student can have in their record;

Home Institution, Overseas Student (YES / NO), Citizenship, VISA TYPE (applicable for international students), Student Card Requested, Emergency Contact Details, Passport Number;

  • Number of Notes, Reviews, Student Files: these would indicate how many notes, reviews, and files are added to this particular student. When the number indicator is clicked, it will then display the detailed notes, reviews, or files added so far for this student;

  • USI Student Number (Unique Student Identifier), and the USI Verified Date.

  • TCSI Last Validated Status Valid/Invalid

NOTE

The list below does not mention all the possible menus you can find under the Student ACTIONS menu – all would depend on your business or institution’s standards and specifications, needs and requirements. Contact our Support Team if you have questions.

  • Print Enrolment Summary: Produces a printable summary of all unit and course enrolments for this student.

  • Email Enrolment Summary: Sends the Enrolment Summary report as an email to the student's default email address.

  • Print CAN: Produces a single Commonwealth Assistance Notice (CAN) for the currently loaded student's details.

  • Email CAN: Sends the Commonwealth Assistance Notice (CAN) as an email to the student's default email address.

  • Preview Proforma Invoice: Preview a Pro-forma invoice or statement of fees that outlines the financial debts that will be incurred by the student in the current study period. This will give you the option to edit and verify the details before printing the invoice. Some of the fields/details that you can edit are the Unit Enrolment Status: and the Unit Enrolment Start and End Date: After doing the preview, you will then be given an option to print or email the invoice to the student.

  • Print Proforma Invoice: Produces a printable PDF File of the Pro-forma invoice or statement of fees that outlines the financial debts that will be incurred by the student in the current study period.

  • Email Fee Summary: Sends a Fee Summary report as an email to the student's default email address.

  • Print Confirmation of Enrolment: Produces a printable PDF File of a report that lists all unit/subject enrolments for a student for the next study period. The report is usually requested of the student by Centrelink.

  • Email Confirmation of Enrolment: This gives you the option to email a confirmation of enrolment report that lists all unit/subject enrolments for a student for the next study period.

  • Print ID Card: A printable student ID card that can be used to prove identity, as a library card and as a student transport card, depending on your state or territory rules.

  • Print Centrelink Letter: A letter that outlines the course that a student is enrolled in, the number of units to be undertaken, and the duration of the current study period. The letter can be customised within the Providers tab to suit the needs of your institution.

  • Print Attendance Summary: If Paradigm is used to track attendance, this report is a summary of a student's attendance record for sessions and classes.

  • Print Offer Letter: Produces an Offer Letter to print, mail, or email via the communication module. The letter can be customised within the Provider tab to suit the needs of your institution.

This section is located right beside the STUDENT DETAILS Form section. You can easily add a student photo here by clicking the Drop student photo to upload menu.

This section will give you easy access to the student’s emergency details. Just click the blue hyperlink and it will lead you to the student-specified emergency contact details page.

 Student COURSE ENROLMENTS section

ENROLMENT SECTION Student COURSE ENROLMENTS section

A list of all courses associated with the student. Each row in the list contains the course start date, enrolled course code, expected end date, current enrolment status, progression status and level, the home institution, and the TCSI Last Validated Status.

Move the mouse to hover over the Enrolled Course column to show the full name of the Enrolled Course and details of the Provider and Study Specialisation.

Each row of information has its own ACTIONS button that provides additional functions as detailed below.

NOTE

The list below does not mention all the possible menus you can find under the Student Course Enrolment ACTIONS menu – all would depend on your business or institution’s standards and specifications, needs and requirements. Contact our Support Team if you have questions.

  • Edit Course Enrolment – This will load the Course page of the Course Enrolment tab, showing all the information for that course, already loaded.

  • Edit Graduation – This will load the GRADUATION Form section where you can confirm the graduation eligibility of the student, edit and set graduation dates, and the graduation ceremony details.

  • Academic Record – A list of all units associated with this course. Units may be edited from this page.

  • Academic Summary – Provides an overview of all units associated with the currently loaded course for this student, including start date, enrolment status, home institution, grade percentage, grade description, published grade, and credit points earned.

  • Units Edit (Financial) – This will load all the units enrolled by the student where you have an option to select an action to perform in relation to its fees or payment, this will also give you an option to quickly add course fees, add overseas health cover for international students, and a view of the student units financial summary information.

  • Units can be updated in bulk from here. Fields include Stat date, end date, Final grade, grade description, unit fee, upfront payments, the amount paid, funding amount, HEIMS loan fee, Subsidy amount, and invoice number.

  • Assessments – Assessments can be tracked within Paradigm within each unit. Once the assessments have been set up within each units grades can be entered from this section for single students or via the reports page for multiple students.

  • Student Session Summary – This will open a page where you can see a list of the student session, overall attendance, and the course enrolment attendance summary.

  • Print Transcript – This will provide a PDF file copy – ready for the printing of the student’s academic transcript.

  • Student Academic Testamur – Parchments / Academic Testamur can also be printed from the system.

  • Print Results Slip – A report of results of units/subjects studied during the previous study period.

  • Print Tax Invoice – This will provide a PDF file copy – ready for the printing of the student’s tax invoice.

  • Course Enrolment Application – This will allow a quick enrolment application to a course, when clicked, you will be asked to select a course this student wishes to apply for.

  • Make Course Offer – This will allow you to email the course offer letter to the student. Once clicked, this will lead you to the Communication page where you can also send an offer letter in bulk.

Other ACTIONS Menu:


  • Apply Payment: Payments that have been received can be allocated to units.

  • Print AHEGS: The Australian Higher Education Graduation Statement (AHEGS) provides information on a student's higher education qualification, the institution at which the qualification was obtained, and the Australian higher education system in one easy-to-read document.

  • Save and Print AHEGS: This will print the statement and save an electronic copy in the E-file all in one go. The statements can't be altered in any way. If the statement needs to be replaced due to loss or damage it must be reprinted from the original in the e-file rather than just reproduced.

  • Print Confirmation of Enrolment: The Confirmation of Enrolment indicates the units / Subjects that the student is enrolled in for the next study period. These are usually provided to students for Centrelink purposes.

  • Print Offer Letter: This report can produce an offer letter that can be either printed for mailing or emailed via the communication module. The letter can be configured from the Provider tab to your institution's needs.

  • Save and Print Offer letter: This report can produce an offer letter that can be either printed for mailing or emailed via the communication module. The letter can be configured from the Provider tab to your institution's needs. This will also save a copy into the e-file.

  • Print Attendance report: Attendance can be tracked within Paradigm. Once set up attendance reports can be printed to track individual students' attendance.

 Student UNIT ENROLMENTS section

ENROLMENT SECTION Student UNIT ENROLMENTS section

Shows a list of the 10 most recent enrolments including unit code, unit name, course code, home institution, state date, grade achieved for the unit, unit enrolment status, and the TCSI validated status. Each Unit Enrolment row has an Actions button that provides additional functions as detailed below.

  • Edit Unit Enrolment: The unit enrolment details are loaded for this student, and able to be edited.

  • Assessment: Assessments are tracked within Paradigm within each unit. Once assessments have been set up within each unit, grades can be entered in this section for single students or via the reports page for multiple students.

  • Attendance: When attendance is being tracked within Paradigm, the scheduled unit sessions are listed here. You have the option to print the class list for the session.

 COURSE ENROLMENT ATTENDANCE SUMMARY section

ATTENDANCE REPORT COURSE ENROLMENT ATTENDANCE SUMMARY

Attendance Report: If attendance is being tracked within Paradigm, this report is a summary report of the student's attendance record for sessions and classes for this unit.

This section will only be shown if the field Show Attendance for Course on Student Summary in the Base Course record is set to YES.

Student Summary screen. Click the ➕ (plus sign) on the left of the Course Name to expand the section.

 STUDENT ADVISOR REPORTS section

STUDY-RELATED SECTION STUDENT ADVISOR REPORTS section

Lists any Student Advisor Reports for this student. The lists would include the Date the report has been added, the name of the Advisor who made the report, and the Enrolled Course that report is under.

 STUDENT REVIEWS - LAST 5 section

STUDY-RELATED SECTION STUDENT REVIEWS - LAST 5 section

Lists the 5 most recent Student Reviews, showing the review date, reviewer name, and the enrolled course, and provides the ability to add a new Student Review to the student record.

The review details can include: The purpose of the review, its outcomes, supporting notes of the review, member names of those in the review committee, and the agreed strategies to be implemented.

Lists all requests made by this student.

View Requests: Show a list of all requests made by this student. You can also filter the request type, status [Accepted, Reviewed, Rejected, etc.], request priority, response due date, and the customer or student name who made the request.

NOTE:

If a student record is already loaded in the system, to go to the Student Summary Page, all you need to do is choose the Student > Summary menus on the side as mentioned in the alternative steps below. This will then open the student summary page of the student. Else, refer to the steps below on how to load a student record and getting to the student summary page.

STEP 1 Load the student’s record.


1, 2, 3, 4 Go to Student > Search > Enter either the student number or name. > Click Search.

You can add more filters in searching for a student here. Check the STUDENT SEARCH Form screenshot below for the fields that you can filter in searching for a student record.

STEP 2 Load the selected student summary page.

5 Once you’ve found the student, click the blue hyperlink Student Number under the Student No column. This will automatically load the Student Summary page.

1 Load the Student Summary Page (refer to the instructions above on how to load the summary page).

2 Go to the COURSE ENROLMENTS Form section of the page, just below the student details section. Click the ACTIONS button on the right of the course record of the student that you want to print the transcript, and then select Print Transcript.

3 After clicking the Print Transcript option, you will be provided with a PDF file copy of the transcript – ready to be printed (below is a sample screenshot copy of a transcript).
