Overview


Objective

This KB aims at providing the users with a basic understanding of the CAN report, namely how to use it, what it is and some common issues with it.

Upon finishing reading this KB user should be able to produce the CAN report successfully.

Assumptions

  • User has the required access to run the report
  • User has a basic understanding of how to invoice a student.

Key terms and concepts

Student Party IdInternal System Id Code
Student numberInstitution allocated Student Id
Course / DegreeName of the Course or Degree in which the student is studying
HEIMS Census DateThe Census date the Units are being reported to the Government for Fee-Help or HECS-Help
Unit Enrolment StatusThe Current Enrolment statuses of the Units to be reported


Tuition Fee: the amount of fee student is required to pay for a particular unit

Upfront payment: the amount student will(is expected) pay upfront.

Fee-paying scholarships: the amount of fee school is willing to take off to reward high performing students.

Fee-help assistance: the amount of fee student pays by getting student loans from the government.

Fee-help loan fee: a fixed amount of fee student needs to pay to the government based on how much loans the student gets.

Fee-help debt: the total amount of money a student owes to the government(Fee-help assistance(student loan)+Fee-help loan fee("interest"))

Workflow

How to run the CAN report from the student page

  1. Click on the Student tab in the side menu
  2. Click on the Search option in the side menu
  3. Enter at least one of the following options in to the relevant search box: 
    • Student No, 
    • Preferred Name, 
    • Given Name, 
    • Family Name / Surname, 
    • Previous Last Name
  4. Click on the Search Studentbutton.
  5. This will show a list of students that meet these criteria
  6. To filter the list of students, in the search box  above the list of students, start typing the student's first or given name. 
  7. When you see the record for the student you are looking for, click on the student number for that student, highlighted in blue in the left column of that row.
  8. The student's record has now been loaded into the Student Summary page.
  9. Click on the Action menu in the Summary Section. The Action menu will open.
  10. Click on Print CAN option in the Action menu
  11. Select the Course from the drop down menu
  12. Select the Course Institution
  13. Select the Census date for the CAN
  14. Select the Unit statuses for the CAN
  15. Click on the Save and Print Report button

How to run the CAN report from the Reports Section

  1. Click on Report tab in the side menu
  2. Click on Letters option in the side menu
  3. Scroll down to the Commonwealth Assistance Notice report
  4. .Click on Get Report  button
  5. Select the Course from the drop down menu
  6. Select the Course Institution
  7. Select the Census date for the CAN
  8. Select the Unit statuses for the CAN
  9. Click on the Save and Print Report button
