Session 4: Academic Scheduling

Overview

In this training session, we will provide an overview and an in-depth explanation of academic scheduling which includes scheduled units, scheduled sessions, and scheduled assessments. We will also demonstrate how all these records can be added and maintained in the system. By the end of this training session, you will have sufficient knowledge to take responsibility for creating and maintaining scheduled units, scheduled sessions, and scheduled assessment records in Paradigm.

 

Learning outcomes


  • Maintain the different time periods related to all academic scheduling workflows

  • Describe and discuss the concepts of academic scheduling (scheduled unit, scheduled session, and scheduled assessment) and all the fields and information related to them which are vital to some reporting requirements.

  • Create or add scheduled units, add session/s to a scheduled unit, and add scheduled assessments to base units.

  • Maintain academic scheduling processes (edit, delete, reschedule, bulk edit scheduled fees, bulk enrol students into sessions).

 

1. Time Periods


Duration: 60 minutes

This section will provide you with a comprehensive discussion on the different time periods in the system that you need to maintain for all the other time-bound records in the system to properly work.

2. Scheduled Units


Duration: 80 minutes

Complexity: medium

USE CAUTION:

A new scheduled unit must be created whenever one or more of the following 7 fields changes:

  1. Unit Code

  2. Unit Name

  3. Start Date

  4. End Date

  5. Census Date

  6. Delivery Mode

  7. Home Institution (otherwise known as location of delivery)

If any of these 7 fields change then a new scheduled unit MUST be created regardless of the course the student is undertaking.

If you recall the data model of Paradigm, the scheduled unit describes the specific offering of a unit at a specific point in time. This section outlines the definition of a scheduled unit, and the minimum requirements to create one scheduled unit record. We will cover all the processes related to it, along with comprehensive discussion and explanations toward identifying some of the implications and data requirements of your institution, to successfully create and maintain a scheduled unit in the system, ensuring that it meets all the necessary considerations.

3. Scheduled Sessions

4. Scheduled Assessments


Duration: 60 minutes

This section will provide you with an overview of scheduled assessments, the prerequisites, and all the key terms and concepts related to them, describing and detailing all the fields and information required to successfully create a scheduled assessment in Paradigm.

5. Review


Duration: 10 minutes

Complexity: MEDIUM

After delivering the main topics, there will be some spare time for open discussion. You can ask any questions you have during the training. We will discuss and confirm a date and time for the next training session.

6. Extension


Duration: 90 minutes

The following tasks are recommended for users to complete at the conclusion of each training session, to ensure that the content is understood and to establish familiarity with Paradigm terminology and its user interface.

Any records created during this section may be raised for review at the beginning of the next session to ensure that the data has been entered correctly, for example, meeting the relevant government reporting standard.
