Key Terms and Concepts
Field Name | Brief Overview |

Class No | Identifying one of multiple groups or classes running at the same time |
Unit Id | Internal System id Code for units. This number is allocated by the system when a unit is created |
Unit Name | Full name of the unit - this will appear on the student's transcript |
Unit Keywords | Buzz words or key words, used in the search section for staff to find this unit if unsure of the exact title of this unit |
Unit Provider | If the provider has multiple institutions within the same system, this can identify which provider is running this instance of the unit |
School | Sub-groups within an Institution |
Unit Teacher(s) | Name of person(s) responsible for the unit delivery |
Minimum Participants | Minimum number of students required to run this unit |
Maximum Participants | Maximum number of students to be enrolled in this unit - useful to ensure that the enrolments don't exceed class room capacity |
Current Participants | How many students are currently enrolled in this unit |
Transferred Participants | How many students have transferred out of this unit into another |
Location (Campus) | The location where this unit is to be delivered. Useful if delivering at multiple locations |
Venue | The building and/or room number |
Mode of Delivery | Online, On Campus, Intensive, Printed |
Start Date | Commencing date of unit |
End Date | Conclusion date of unit |
HEIMS Census date | The final date students can withdraw without incurring the full cost of the unit. HEIMS requires that this date by no less than 20% of the way through the unit. E489 HEIMS required reporting field |
HEIMS Summer School | Is this unit being delivered in Summer school e.g. outside of normal Semesters |
Status |
Units are required to be active to be available for selection on the course plan |
Printed Comments | Comments to appear on the results report for students to see |

Invoice Fee Code | The department / School that receives the fees for this unit |
Do not Schedule Assessments | When rescheduling the units, if the Assessments for the new schedule are different or need to be updated, tick this box to skip assessment rescheduling |
Do Not Copy Fees | If the Fees are different from when the unit was previously run, tick this box to skip copying the fees |
Implications
Warning
Old scheduled units should NOT be updated and reused again as this will alter the dates for students previously enrolled into the unit. A new schedule or a reschedule needs to be created each time the unit is run.
Always ensure that dates are entered correctly as incorrect information can have a flow-on effect for reporting periods. The census date must always fall between the start and end date of the scheduled unit and the date must be NO LESS than 20% of the way through the entire delivery period of the scheduled unit.
Note
Bulk selecting scheduled units by using the Add Selected Units To List button, is only to be used in conjunction with the menu item that is labelled Bulk Edit Scheduled Fee. Do not use the Add Selected Units To List button when trying to reschedule units.
