Student - Summary

Overview

The Student Summary page displays detailed information about a student. This would include the student’s personal information (e.g. status, contact details, photo, etc.), course and units enrolments, reports, reviews, and requests. This page will not only let you view the student information – it will also give you options to process (print, email, edit) the information available. This knowledge article describes each section found on this page and the how-to guides that relate to this menu.

The Student Summary page contains separate sections of related information as follows:

NOTE:

The Student load indicator specifically the Part/Full time displayed in this section “ Classic Records Loaded” is derived by Paradigm based on the true EFTSL enrolment of the student in question by summing up the EFTSL on the scheduled units that sit within the dates specified in the time period called “SEMESTER_LOAD_PERIOD”.

 

 

The header section is at the top of the page and contains minimal details of the currently loaded student record. The header section can be shown or hidden by clicking the Show Classic Records Loaded button near the top right corner of the page. The same information can be shown at any time in a popup window by hovering over the "Currently Loaded" dropbox to the left of the button.

newly added section VALIDATION ERRORS section

 

New TCSI validation errors on the student summary screen are now shown to prompt errors that need to be addressed. Errors are organised in a way for ease of checking areas to resolve.

personal info section STUDENT DETAILS section

 

Shows a summary of identity and contact information for a student:

  • Internal Paradigm Id: System allocated internal id code;

  • Student number: Institution allocated student number;

  • Old Student number: Any previous allocated Student numbers or indicators (usually from a previous student management system);

  • Name: Student’s full legal name;

  • Preferred Name: The name the student prefers to be called or referred to as;

  • DOB: Date of Birth;

  • Other fields on this student summary page would include: Age, Gender, Phone, Permanent Address, Email;

  • Status: student record status in the system. These are just some of the statuses a student can have in their record;

Home Institution, Overseas Student (YES / NO), Citizenship, VISA TYPE (applicable for international students), Student Card Requested, Emergency Contact Details, Passport Number;

  • Number of Notes, Reviews, Student Files: these would indicate how many notes, reviews, and files are added to this particular student. When the number indicator is clicked, it will then display the detailed notes, reviews, or files added so far for this student;

  • USI Student Number (Unique Student Identifier), and the USI Verified Date.

  • TCSI Last Validated Status Valid/Invalid

NOTE:

The list below does not mention all the possible menus you can find under the Student ACTIONS menu – all would depend on your business or institution’s standards and specifications, needs and requirements. Contact our Support Team if you have questions.

 

  • Print Enrolment Summary: Produces a printable summary of all unit and course enrolments for this student.

  • Email Enrolment Summary: Sends the Enrolment Summary report as an email to the student's default email address.

  • Print CAN: Produces a single Commonwealth Assistance Notice (CAN) for the currently loaded student's details.

  • Email CAN: Sends the Commonwealth Assistance Notice (CAN) as an email to the student's default email address.

  • Preview Proforma Invoice: Preview a Pro-forma invoice or statement of fees that outlines the financial debts that will be incurred by the student in the current study period. This will give you the option to edit and verify the details before printing the invoice. Some of the fields/details that you can edit are the Unit Enrolment Status: and the Unit Enrolment Start and End Date: After doing the preview, you will then be given an option to print or email the invoice to the student.

  • Print Proforma Invoice: Produces a printable PDF File of the Pro-forma invoice or statement of fees that outlines the financial debts that will be incurred by the student in the current study period.

  • Email Fee Summary: Sends a Fee Summary report as an email to the student's default email address.

  • Print Confirmation of Enrolment: Produces a printable PDF File of a report that lists all unit/subject enrolments for a student for the next study period. The report is usually requested of the student by Centrelink.

  • Email Confirmation of Enrolment: This gives you the option to email a confirmation of enrolment report that lists all unit/subject enrolments for a student for the next study period.

  • Print ID Card: A printable student ID card that can be used to prove identity, as a library card and as a student transport card, depending on your state or territory rules.

  • Print Centrelink Letter: A letter that outlines the course that a student is enrolled in, the number of units to be undertaken, and the duration of the current study period. The letter can be customised within the Providers tab to suit the needs of your institution.

  • Print Attendance Summary: If Paradigm is used to track attendance, this report is a summary of a student's attendance record for sessions and classes.

  • Print Offer Letter: Produces an Offer Letter to print, mail, or email via the communication module. The letter can be customised within the Provider tab to suit the needs of your institution.
