Course Completion Process

Overview

The process of how the student record is completed in your business or institution is dependent on your agreed workflow, however, when it comes to government reporting, the process of completing a course record in Paradigm can be agreed upon following the workflow below.

Assumptions

The workflow below assumes that the following records in relation to the student’s course and unit enrolments in your business or institutions have already been finalised:

Workflow

1. You have to make sure that all unit enrolments record under the course that you are about to set as completed are set in their final statuses first before you will attempt to close the course enrolment status otherwise it will trigger TCSI validation errors when trying to close a course that has units still open.

2. After finalising all unit enrolments' statuses, you can now set the Course Expected End Date field of the course enrolment record. Navigate to the Student > Summary > ACTIONS button against the course enrolment to be completed and choose the Edit Course Enrolment option. Look for the Expected End Date field.

Change the field Expected End Date to any date that is after the Unit enrolment Expected End Date or Grade Release Date, see Publishing Grades. When you change the course enrolment expected end date to a date that is before the Unit enrolment Grade Release Date, you might come across a TCSI Validation [10356] error.

3. After setting the Expected End Date field, finalise the Course Enrolment Outcome by changing the Enrolment Status field to Completed. A warning message will appear to confirm your action, select CONTINUE to proceed.

4. Create a Specialisation Packet [E463] via the Course Enrolment > Student TCSI Edit: COURSE ENROLMENT SPECIALISATION section.

 

SUCCESS:

Following the steps above, the student completed course enrolment record has now been reported to TCSI. Make sure that there are no more errors coming up from TCSI and that all linked unit enrolment records are showing as valid and so with the course enrolment record.

6. Lastly, you have the option to change the student record status in the system to a value that is no longer Active in the system, see Edit a Student Record and change the Status field accordingly.
